Upload/View Document

Easy uploads and management of any order data with help of this button. Upload any document, image, data, excels or any other type of file and maintain full documentation. All types of files are supported. To upload/view document –

  1. Click on the Document Upload/View button on the Sales Order Page.
  2. Upload document pop up window will open.
  3. Write description of file name/type. Then Click on “Choose File”. Select file from your computer library. You can choose 1 single file at a time.
  4. Click on Add if you would like to add more files. Repeat the same process as point no 3.
  5. Once done, then click on Save.
  6. To delete any file, click on Delete button
  7. After Saving, the entire list of uploaded documents will be shown below under the download documents tab.
  8. You can download files anytime anywhere whenever required. Also you can delete files if required.
  9. Click on Save

Drop shipments

Drop shipments is the term refers to allocate the demand in the order to the assigned Warehouse. This process is done make the process to manufacturing the material will be easier. It saves lots to due to this large order can be completed in short span of time.

Create Dropship Orders

  • Log in to “Ease My Production” Software with login credentials.
  • Go to Order Processing tab > Operations Centralized Sales Order
  • Click on the Order which you have created, by default it will appear first in the grid whose status is “Processing”.
  • Click on “Drop-ship Order” tab.
  • Click on “Drop-ship Order” button.
  • Select Auto Generated SO No from dropdown .
  • Upload/View document if any by clicking on upload button.
  • Click on “Warehouse” tab.
  • Allocate the Warehouse accordingly whose list is displaying.
  • Click on Submit > Done.

Note:

1. Once the Drop-Ship order is created, it will show Submit as status. Only the warehouse manager/other users who has permission to approve the Order will be able to approve it. After approval, it will show status as “Processing” on the Issued page

Centralized Sales Order

Centralized Sales Order is a feature through which we can directly allocated the particular demand raised in Sales Order to a particular warehouse. In this we can see all the sales order at a glance and can allot the demand to the warehouse so that large demand can be completed in the small span of time.

Create Centralized Sales Order

  • Log in to “Ease My Production” Software with login credentials.
  • Go to Order Processing tab > Centralized Sales  order.
  • After clicking Centralized Sales Order popup will open.
  • Click on “Add Order” tab.
  • Select Auto Generated SO No from dropdown or you can manually add sales order no by clicking on the tick below that.
  • Choose Customer from the dropdown. Ensure that customer details are added in Masters > Customers before adding in sales order. To know more on adding customers, click here
  • Select Profit Centre, Payment Mode from dropdown.
  • Click on Checkbox if the shipping address is the same as the billing address. Else fill in the shipping details.
  • Upload/View document if any by clicking on upload button
  • Click on Add Item. Select items for sales order.
  • Enter the Qty, rate, discount percentage(if any). Add Extra Charges (if any).Ensure that extra charges are added in Masters > Extra Charges before adding in sales order. To know more on extra charges, click here
  • Click on “Submit”

Quotation

quotation is a document that a seller provides to a buyer to offer goods or services at a stated price, under specified conditions. Also known as quotes, sales quotes, or sales quotationsquotations are used to let a potential buyer know how much goods or services will cost before they commit to the purchase.

Create Quotation

  • Log in to “Ease My Production” Software with login credentials.
  • Go to Order Processing tab > Operations Quotation Forms
  • Quotation List page will open.
  • Click on “Add Quotation” tab.
  • In the Add Quotation popup, enter all the details.
  • Select Auto Generated No from dropdown or you can manually add Quotation no by clicking on the tick below that.
  • Upload/View document if any by clicking on upload button.
  • Choose Customer from the dropdown. Ensure that customer details are added in Masters > Customers before adding in sales order. To know more on adding customers, click here
  • Select Payment Mode from the drop down.
  • Enter Profit center from the drop down.
  • Select tick in the box when shipping address is same as Customer’s address.
  • Click on Add Item. Select items for sales order, to know how to add items click here.
  • Enter the Qty, rate, discount percentage(if any). Add Extra Charges (if any).Ensure that extra charges are added in Masters > Extra Charges before adding in sales order. To know more on extra charges, click here
  • Click on “Submit”.

Note:

1. Once the Quotation is created, it will show Submit as status. Only the warehouse manager/other users who has permission to Generate Order of the Quotation will be able to generate it.
2. After Generation of order, it will converted as Sales Order.

  • To Revise Quote > click on Revise Quote button
  • To Generate Order > click on Generate Order button
  • To mail details to client > click on Mail client button
  • To print the Quote > click on Print button

Types of Quotation’s Status

Ease My Production helps easy management of orders via their statuses. At a glance, you can immediately view the status of any particular order with color demarcation.

  • Submit (when Quotation is created)
  • Revised (when Quotation is revised)
  • Ordered (when Quotation is converted in SO)
  • Draft (when Quotation is in draft mode)
